Platform & Service

How Alma works and what sets us apart.

How does Alma differ from a regular software tool? +

Alma is software and service. We don't just provide the platform — we make sure the data is right every month. That means: onboarding CFOs, resolving errors, validating dashboards — a dedicated monthly partner behind the scenes.

Does Alma work with our existing systems? +

Yes. Alma connects to your existing tooling — PowerBI, Excel, Fundbird, and AI tools via the MCP connection layer. CFOs can submit via a dedicated email address, an upload portal, or API integration.

What fund sizes is Alma suitable for? +

Alma is built for mid-market PE funds with 4–20 portfolio companies. Our current clients manage funds from €100M to €500M+.

Who uses Alma within our organisation? +

Investment managers, fund administrators and LP-relations teams use Alma daily for monitoring, valuation and reporting. On the portfolio side, CFOs and controllers work with our standardised submission flow.

Onboarding

Implementation, lead time, and first results.

How long does onboarding take? +

An average implementation takes 4–6 weeks from kick-off to first live dashboards. We actively guide the CFOs of your portfolio companies during this process.

What do you need from us to get started? +

A list of portfolio companies with CFO contacts, your current reporting structure and KPI set, and a 90-minute kick-off with your investment team. We handle the rest — including all communication with portfolio companies.

How does the switch work if we already use another system? +

We migrate historical data up to 36 months back from Excel, PowerBI or existing tools. During the transition both systems run in parallel so there is no break in reporting.

Data & Security

Ownership, location, encryption and compliance.

What happens to our data? +

Every client gets a fully dedicated, isolated environment on dedicated infrastructure — data location within the EU. Ownership always remains with the client. All data is encrypted at rest and in transit.

What certifications does Alma have? +

ISO 27001 for information security, GDPR-compliant, and aligned with DORA requirements for financial institutions. Our infrastructure runs on SOC 2 Type II certified EU cloud.

What happens to our data if we stop? +

You receive a full export in an open format (CSV, Parquet, Excel) plus a PDF archive of all dashboards and reports. After 30 days all personal data and company data are permanently deleted from our environment.

Do you have access to our data yourselves? +

For service work, specific team members have limited, audited access. All actions are logged and visible to you. We sign an NDA and data processing agreement by default.

AI & Intelligence

How AI works within Alma and what it does for you.

What does Alma's AI layer actually do? +

The AI layer detects anomalies in incoming data, flags variances against budget and peers, generates first-draft commentary for IC and LP reports, and answers questions about your portfolio in natural language — all within your own environment.

Is our data used to train AI models? +

No. Your data is never used for training — not by us, not by third parties. We use models via controlled APIs with data retention explicitly disabled, and run sensitive operations on private endpoints within the EU.

Can we turn the AI features off? +

Yes, at fund or company level. AI is a layer on top of the core data platform, not a requirement. Many clients start without AI and activate features step by step as they build comfort.

Pricing & Terms

Pricing, contract terms and what's included.

How does pricing work? +

We work with a fixed monthly fee based on the number of portfolio companies — including platform, service and unlimited users. Schedule a call for a tailored quote.

What's included in the service? +

Monthly data submission by your portfolio CFOs, quality control, error resolution, dashboard validation, quarterly IC and LP reports, and unlimited support for the entire team. No hidden surcharges.

What is the contract length? +

Standard one-year contract with three months' notice. We prefer building a long relationship over enforcing exit clauses — our average client relationship runs multiple years.
